Academic Affairs Assistant (Richland)

Location: Richland Campus

Full or Part Time: Part Time

Schedule: Monday & Tuesday 8 am – 4 pm OR Monday, Tuesday, & Friday 9 am – 2 pm

Salary/Wage: $12 – $13 per hour

Job Scope

The Academic Affairs Assistant provides administrative and clerical support in academic affairs administration in collaboration with offices responsible for College Partnerships, Assessment, and Scheduling. This position would handle a variety of administrative tasks, including tracking various projects, assisting with data collection and data entry, responding to faculty requests, and assisting faculty with various forms. The responsibilities involve time management, communication, and ensuring efficient office operations.

Essential Job Responsibilities

  1. Assist the Office of School Partnerships with intake paperwork for new ACE faculty.
  2. Assist with the adjunct new hire process.
  3. Assist the Associate Dean of Academic Affairs with adjunct recruitment efforts.
  4. Track program advisory committee membership lists.
  5. Track faculty class observation and evaluation schedules.
  6. Coordinate peer observations and payment.
  7. Compile data for administrative assessment.
  8. Assist Academic Operations Specialist with coordination of adjunct teaching requests.
  9. Coordinates test proctoring, class cancellations, and substitute assignments.
  10. Assist faculty with purchase request and mileage reimbursement forms.
  11. Other duties as assigned.

Education:

  • High School Diploma or GED required.
  • Associate’s degree preferred.

Experience & Knowledge:

  • One-year related experience required.
  • Experience should include providing customer service, data collection, entry & tracking, and detail-oriented work, including completing paperwork in an accurate, timely and efficient manner.
  • Strong organizational skills are required to be able to prioritize tasks and manage time.
  • Clear and concise written and oral communication skills are also required.
  • Ability to work well with others, be flexible enough to adjust to changing priorities, and demonstrate professionalism required.

Computer Skills:

  • Working knowledge of MS Office required.
  • Ability to learn new systems and procedures.

Certificates, Licenses, Registrations:

  • Criminal Background Clearance

Physical Demands:

  • Frequent sitting.
  • Must be able to talk, hear and operate a computer and telephone.
  • The employee is frequently required to use hands to type, write, handle, or feel; and reach with hands and arms.
  • Occasional lifting up to 10 lbs.
