Academic Instruction Secretary (Part-Time)

Pennsylvania Highlands Community College is currently accepting applications for the position of Academic Instruction SecretaryThis position will initially be part-time with no benefits. As the budget allows, it is expected to become a
full-time position with benefits.
Under the supervision of the Associate Dean of Instruction, this position is responsible
for providing support to the Associate Dean and Faculty. 

The successful candidate will be proficient in a variety of computer software applications in Microsoft Office (MS Word, Excel, Outlook, etc.), spreadsheets, database and presentation software.  He or she must possess excellent communication skills and a demonstrated ability to work in a fast-paced environment with multi-tasking skills.  Some evening work may be required.

Required qualifications include a High School Diploma or GED.  Associate’s Degree is preferred. Three or more years of related secretarial and/or clerical experience is highly preferred.

Responsibilities include but are not limited to:

  • Word processing and duplicating of various reports, letters, memos, proposals, meeting minutes, course syllabi and student exams within a timely manner.
  • Serving as clerical support for Academic Affairs, specifically:
    • Associate Dean of Instruction
    • Faculty
  • Organizing and maintaining records of internal data.
  • Scheduling meetings and events; arranging food for meetings.
  • Ordering textbooks for faculty.
  • Greeting and responding to telephone and walk-in guests, screening and directing calls and the handling of routine inquiries from students, parents, faculty and staff.
  • Communicating directives and messages; coordinating with other offices on correspondence, plans and problem intervention.
  • Serving as a recorder at committee and staff meetings as needed.
  • Working independently within a team on special and ongoing projects.
  • Communicating and interacting with individuals at all levels of the College.
  • Demonstrating a high level of interpersonal skills to handle sensitive and confidential situations.
  • Assumes other related duties as determined by the Associate Dean of Instruction.
  • Ability and endurance necessary to work the hours needed to complete the job.
  • Attendance at all mandatory meetings.
  • Regular attendance
