Administrative Assistant (Central Park)

Job Scope: This position will assist with the daily operations of the Central Park location primarily focusing on assisting potential and current students with information related to admissions, enrollment, registration, and other student services.  Duties include but are not limited to answering and directing incoming phone calls, welcoming visitors, data entry, assisting and disseminating information to students, faculty, staff, and others; preparing correspondence, maintaining and ordering supplies, and participation in student events as needed.  Working in conjunction with the staff person assigned to the center, this position provides excellent customer service and guidance related to all aspects of the center and the college.  This person will be responsible for opening the location at the start of the day and closing the location at the end of the day.  Work may involve occasional evenings and weekends.

Essential Job Responsibilities:

  1. Providing administrative office support for the location.
  2. Demonstrating a high level of interpersonal skills to handle sensitive and confidential situations.
  3. Performing data entry and processing in various college information systems.
  4. Assisting in the planning and implementation of student and community related activities.
  5. Greeting and responding to telephone, email, and walk-in guests, screening and directing calls and the handling of routine inquiries from students, parents, faculty and staff.
  6. Communicating directives and messages; coordinating with other offices on correspondence, plans and problem intervention.
  7. Maintaining student files and assisting students with completion of applications and other necessary paperwork.
  8. Assisting students with accessing necessary educational services.
  9. Responsible for opening and closing the center. 
  10. Other duties as assigned.

Education:  High school diploma or GED is required.  Associates degree in field relevant to the position is preferred.   

Experience & Knowledge:  A minimum of one year of experience in an administrative assistant role is required. 

Computer Skills:  Proficiency withMS Office is required.

Certificates, Licenses, Registrations: PA State Police Criminal Background Clearance

Physical Demands: While performing the duties of this position, the employee is regularly required to sit and talk or hear. The employee is frequently required to use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 25 pounds. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment: Typical office environment with a quiet to moderate noise level.

RATE: $10.43 per hour


HOURS: 20 hours per week. 

IMPORTANT NOTE: This is a bargaining unit support staff position.  All newly hired regular part-time employees will serve a probationary period of 520 hours.  During the probationary period, employees will be required to demonstrate fitness for the position prior to receiving permanent appointment.
